Beyond the Mood Board: Scouting with the Best in the Business

By: Lexi Applebach

Pinning a hundred photos of a candlelit, Vogue-style reception is the easy part. Actually making that vision happen when the caterer is running late and the weather turns requires serious experience. I started The Wedding Scout because I want to bridge the gap between high-end inspiration and the grounded reality of an event. To give you the real, insider intel, I knew I needed to learn from the absolute best, which is why I am stepping out from behind the laptop and getting hands-on experience.

Currently, I am helping out the incredible team at Emma Jordan Weddings. Emma has been in the wedding game for eight years, running her own successful planning business while also acting as the wedding coordinator for amazing local venues like Tyne Bank Brewery, Exchange 1856, Harbour House, and The Common Room. Working alongside her and @coordinatedbybecca means I get to watch a true veteran manage the logistics, timelines, and vendor communications. I am soaking up every detail of how she makes these massive, moving puzzles feel absolutely effortless for her couples.

I started Emma Jordan Weddings because I believe weddings should feel calm, intentional and beautifully put together behind the scenes. What people see on the day is just the surface. What I focus on is the structure, communication and trust that makes everything run seamlessly

Bringing Lexi into the business isn’t about filling a role. It’s about mentorship. Over the next few months, she’ll be immersed in the real mechanics of weddings, from on the day coordination to crisis management to set-ups & pack downs.

This summer, I will officially be stepping into a coordination role for some of these weddings, and I plan to bring you all along for the ride. I am taking everything I learn from Emma’s eight years of expertise and translating it into actionable advice for your own cross-cultural or destination wedding. Instead of just posting the final, curated photos of these events, I will be dropping “Post-Game Reports” right here on the blog. These will be magazine-style breakdowns where we look at the actual stats of the day, highlighting the MVP vendors and dissecting how the logistics held the beautiful design together.

A gorgeous, editorial design does not mean much if the catering flow makes no sense or the timeline collapses. By helping out at these events now and coordinating them, I am doing the scouting for you to spot the hidden gems and red flags early. You focus on the romance, and I will keep gathering the mechanics.
